PupilHub Demo — User Manual

Welcome to the PupilHub interactive demo. This manual walks you through every feature, role, and workflow available in the demo so you can experience the full power of the platform before subscribing.

How to use this demo

Click Try Demo to start. You'll pick a role, sign in, and explore the platform from that user's perspective. All data is simulated — feel free to click everything.


1Getting Started

Open the demo page. You'll see five role cards:

School Administrator
Teacher
Parent
Student
Accountant / Bursar

Steps:

  1. Click a role card — a login screen appears.
  2. Click Sign In — a brief loading animation simulates authentication.
  3. You arrive at that role's dashboard with a sidebar, top bar, and live notifications.
  4. Use the sidebar to navigate between pages. Click Quick Actions to run workflows.
  5. Click Switch Role at the bottom of the sidebar to return to the role picker.

School Administrator

The Administrator has full oversight of the school. The sidebar contains all management modules.

Dashboard

Widgets display Total Pupils, Staff, Attendance Rate, Outstanding Fees, Revenue, and New Admissions. The Class Distribution chart and Recent Activity feed give a quick snapshot. Quick Actions let you run key workflows.

Admissions

View a table of recent admissions. Click Add New Pupil to open the admission wizard.

Students

Browse all enrolled students with admission numbers and statuses.

Staff

View teacher and staff records with roles and departments.

Academics

Manage sessions, terms, and access result publication.

Attendance

Monitor school-wide attendance rates.

Finance

Track revenue, outstanding fees, and payment counts.

Settings

School profile with name, email, and phone numbers.


Teacher

Teachers manage their classes, attendance, assessments, and lesson notes.

Dashboard

Shows My Classes, Attendance Pending, Assessments Due, and Student Performance. Quick Actions for attendance, scores, and lesson notes.

Attendance

Select a class, then mark each student as Present, Absent, or Late. Submit to save — parents are notified automatically.

Assessments

View upcoming assessments and their due dates.

Results

Enter scores for students. The system calculates grades and updates the performance chart in real time.

Lesson Notes

Upload lesson notes with objectives, content, and assignments. Students access them immediately.

Messages

View communications from parents and school administration.


Parent

Parents monitor their child's progress, attendance, fees, and receive school announcements.

Dashboard

Shows your child's profile card (name, class, admission number), Attendance Rate, Recent Result, Outstanding Fees, and Announcements count.

Report Card

Click Report Card in Quick Actions to open a detailed interactive report card showing subject scores, grades, class position, teacher remarks, and an overall performance chart.

Full Attendance

Opens an interactive calendar view with color-coded days. Green = Present, Red = Absent, Yellow = Late.

Announcements

View school announcements and Acknowledge them to confirm receipt.

Fees

View fee payment history and outstanding balances per term.


Student

Students access their subjects, assignments, and results.

Dashboard

Shows attendance, subject count, pending assignments, and average score. Quick Actions let you view assignment details or results.

Assignments

Click Assignment Detail to view instructions, due date, attached files, and submit your work.

My Results

Interactive report card with an SVG performance ring, subject-by-subject breakdown, teacher comments, and term-over-term trend chart.


Accountant / Bursar

Manage school finances including payments, invoices, receipts, and financial reports.

Dashboard

Widgets show Revenue Today, Revenue This Month, Outstanding Payments, and Recent Transactions. Quick Actions for recording payments and generating reports.

Payments

View all payment records. Click Record Payment to open a multi-step wizard. Search for a student, enter the amount and method, preview the receipt, and confirm. A receipt is generated instantly and the parent receives a confirmation.

Receipts

View all generated receipts with student names and amounts.

Reports

Click Generate Report to configure a financial report. Choose the report type (Revenue, Fee Collection, etc.), period, and chart style. Preview the data with interactive charts, then export as PDF or Excel.


Workflow Guide

Each workflow is a multi-step wizard. Here's how to complete each one.

1New Admission (Admin)

  1. Click New Admission on the dashboard or Add New Pupil on the Admissions page.
  2. Step 1 — Enter the student's full name, date of birth, gender, class, and address.
  3. Step 2 — Enter parent/guardian details (father, mother names, email, phone, occupation).
  4. Step 3 — Upload passport photo and birth certificate.
  5. Step 4 — Review the summary and click Confirm & Submit.
  6. Success screen shows the admission number, generated parent account credentials, and student login details.

2Publish Results (Admin)

  1. Click Publish Results from Quick Actions or go to Academics.
  2. Select the session, term, and class.
  3. Review the results summary showing student names, subject count, and class average.
  4. Click Publish Results Now to confirm.
  5. Success animation confirms parents can now view results.

3Send Announcement (Admin)

  1. Click Send Announcement from Quick Actions.
  2. Select recipients: Entire School, Teachers, Parents, or a Specific Class.
  3. Compose the subject and message. Toggle priority if needed.
  4. Preview how the message appears to recipients, then click Send.
  5. Delivery stats confirm how many people received the message.

4Take Attendance (Teacher)

  1. Click Take Attendance from Quick Actions.
  2. Select the class, subject, and date.
  3. Mark each student as Present, Absent, or Late. A progress bar tracks completion.
  4. Review the summary showing attendance percentages and absent students.
  5. Submit — parents of absent students receive instant notifications via SMS and email.

5Enter Scores (Teacher)

  1. Click Enter Scores from Quick Actions.
  2. Select class, subject, and assessment type.
  3. Enter scores for each student (0-100). Grades auto-calculate and invalid values are highlighted.
  4. Preview scores in a bar chart showing each student's performance with grade colors and class average.
  5. Save — the performance chart updates instantly with a comparison to the previous term.

6Upload Lesson Notes (Teacher)

  1. Click Lesson Notes from Quick Actions.
  2. Enter subject, topic, class, week number, and date.
  3. Add lesson objectives, content, materials, and assignments.
  4. Preview the formatted lesson note as students will see it.
  5. Upload — students can access it immediately.

7Record Payment (Accountant)

  1. Click Record Payment from Quick Actions.
  2. Search and select a student. Their balance and info appear.
  3. Enter the amount, payment method, date, and fee category.
  4. Preview the formatted receipt with school letterhead.
  5. Confirm — receipt is generated, parent receives payment confirmation.

8Generate Financial Report (Accountant)

  1. Click Generate Report from Quick Actions.
  2. Choose report type, period, class and category filters, and chart style.
  3. Preview summary cards and interactive charts.
  4. Export as PDF, Excel, or email the report.

Tips & Tricks

Live Notifications

Notifications appear automatically every few seconds. Click the bell icon to view the full notification history.

Switch Roles

Click Switch Role at the bottom of the sidebar to instantly change perspectives without reloading.

Multi-Step Wizards

All workflows use step wizards. Use Back and Next to navigate, or click the step indicators to jump.

Keyboard Shortcut

Press Esc to close any open modal or workflow.
